How QuickBooks Online Works
- What is QuickBooks Online?
QuickBooks Online provides easy-to-use online accounting and bookkeeping software for small business which helps you organise your finances and complies with accounting standards. Since this is an online accounting tool, there is no need to install any software on your computer. All your financial data is kept securely on our servers. This means that you can access your data from anywhere anytime and even if your computer is damaged, lost, or stolen, your data is safe and secure.
- Do I need a lot of training to learn QuickBooks Online?
We designed QuickBooks Online to be as easy to use as possible. You don't need to know accounting. If you know how to write cheques, create and send invoices, and file your bills, you'll know how to use QuickBooks Online. To help, we offer easy instructions and simple, recognizable forms so you can quickly and confidently get up and running. We also provide training support, at a low cost.
- If I upgrade my QuickBooks Online edition, will my data be preserved?
Yes, your previously input information will be preserved when you upgrade your QuickBooks Online’s edition (e.g. Simple Start to Essentials, Essentials to Plus, etc.). However, downgrading of QuickBooks Online edition is not supported because the amount & complexity of data processed by higher editions of QuickBooks Online are more advanced.
- When I terminate my QuickBooks Online and decide to re-subscribe later, will my data be preserved?
Upon termination of QuickBooks Online, the data will be removed permanently. Upon re-subscription, there will be no data within QuickBooks Online.
- How long does it take to set up QuickBooks Online?
Not long. We just need a little information about you and your business - the whole process usually takes less than ten minutes.
- How do I pay?
Since QuickBooks Online is offered by SingTel, there is no incremental payment hassle you'll have to face. QuickBooks Online subscription will feature as an additional line item in your SingTel monthly bill and you can continue paying for your SingTel services (including your new QuickBooks Online subscription) using your existing payment modes.
- What is included in the subscription?
It includes the full use of features available in your selected edition (either QuickBooks Online Simple Start, Essentials or Plus), automatic upgrades, secure storage of your data, and telephone support 7 days a week at no extra cost.
- Is there a minimum contract for QuickBooks Online?
Yes, there will be an initial contract period of 12 months.
Security and Data Storage
- Where does QuickBooks Online store my company's financial data?
We store your data on our secure servers. They're kept locked up tight in a very safe location. When you log in to QuickBooks Online, the data is transferred across the Internet and displayed on your computer. All your financial details are scrambled with encryption while stored on our servers, and when transferred over the internet. This means that even if someone did manage to intercept the data, they wouldn't be able to make sense of it.
- How do you ensure my financial data is kept safe?
We operate a similar level of security to online banks. For instance:
- All data is scrambled using strong encryption when it is stored. This means the data cannot be read unless you know the password to decrypt it;
- Data is also encrypted before it is sent across the Internet. This ensures that even if someone intercepts it, they won't be able to understand it;
- The servers your data are kept in a secure location. They're protected by firewalls and intrusion detection systems.
- Do you share my company's figures with anybody?
Absolutely not. In fact, our systems don't even let us see the password you use to access your data.
- How often is my business data backed up?
Every two hours. Backups are performed automatically, without interrupting your work. They're kept in separate, secure locations. We'll always have a safe copy of your data, even in the unlikely event of something going wrong with our systems.
- Is it safe to access my data across the internet?
Yes. We scramble all data using encryption, so nobody can understand it when it's sent across the internet - even if they do manage to intercept it. We use the the same type and strength of encryption as most online banks (128-bit SSL).
- Can I export my data from QuickBooks Online?
Although the data is stored on our servers, it belongs to you. You can save your reports as Excel spreadsheet files. Most other accounting systems can open this type of file.
- What happens if my Internet access is down?
If your Internet connection at your current location is down you won't be able to access QuickBooks Online. But, you can still access your books from any computer with an Internet connection.

- Can I get help using the QuickBooks Online?
Yes. We understand that support is especially important when it comes to finances & accounts. We have phone support agents (call 1606 Option 2) available from 9 am to 11 pm on weekdays and 9 am to 9 pm on weekends.
- Is there training for QuickBooks Online?
Yes, we provide classroom training at a very low cost. Click here for the training registration page.
- Is there onsite support for QuickBooks Online?
No. However, classroom training is available.

Before you sign up for QuickBooks Online, make sure you can meet these minimum system requirements:

QuickBooks Online works best with a fast broadband internet connection. It will take longer if you access it via a dial-up or other slow connection.
- Does QuickBooks Online work on mobile devices such as iPad, Galaxy Tab?
Yes, QuickBooks Online works on selected mobile devices:

- I have signed up for the QuickBooks Online service. It is asking me to enter some information (SUI page). Why do I need to provide the information? Can I change the information later?
It is required in order to setup your basic company information and also, based on your industry, it can load a preset Chart of Accounts that closely matches what you need. If your exact industry isn’t in the list, don’t worry. Choose one that is similar to your business – you can always customise your accounts later.
- During service assignment, the system is asking me to select “User Role”. There are so many roles, how do I know which to select?
To begin, you should always first assign someone to be an Administrator of QuickBooks Online. The administrator is responsible for setting up your company’s information (e.g. address, industry type, etc.) and has full access to all functionalities in QuickBooks Online. The choice of assigning the remaining roles is dependent on the needs of your QuickBooks Online users.
Administrator: The Administrator setups up QuickBooks Online and have full access to all features.
Standard User: Choice of full features access or limited to Sales & Purchases, Suppliers & Purchases or Clients & Sales.
Reports Only: Only see reports about the company and banking information, but cannot enter information.
Accountant: This is the accountant you use to produce financial statements. He can either have full features access, or be limited to reports only.
- My sign up only has 2 user roles. I need more users, what should I do?
There are 3 QuickBooks Online editions you can select from to suit your user license needs. We offer licenses in quantities of 2, 4 and 6 for Simple Start, Essentials and Plus respectively.
- I have assigned user A with the wrong role. How do I change it?
To reassign users with a different role, go to myBusiness Dashboard->Manage Licenses->Unassign User to first unassign the user and then reassign him to the appropriate role.
- Will it affect my data?
The data contributed by the user will not be affected and will be preserved at the application level as long as the service is not terminated. For example, invoices created by the user will still be part of the QuickBooks Online records.
